A pantry shift has a hard floor. Below a certain number of people the line outside moves too slowly, intake backs up, and somebody gets turned away — so the useful question is never "who signed up" but "are we above the minimum on Thursday". Most sheets answer the first question and leave the second in the coordinator's head.

This one puts the minimum next to every section. It is laid out for a distribution day, with the delivery unload and the sorting shifts that make the next one possible.

Getting it filled

Four things that decide whether it works.

Write the minimum, then count against it

Six names under a section that needs eight is a problem you can see. Six names under a section with no number is a sheet that looks fine until Thursday morning.

Separate the trained roles

Intake sees client information and usually needs a confidentiality briefing; the forklift needs a card. Keep them as their own sections so an untrained volunteer does not fill the line by accident.

Book the unload for the day the truck comes

It is the heaviest shift and the one most often forgotten, because it does not happen on distribution day. A pantry that is short on unload is short on everything a week later.

The last column is your grant report

Ticking who actually came, on the day, is what turns this sheet into hours you can report. Reconstructing it in January from memory is how organizations end up under-reporting their own volunteer match.

When paper stops being enough

The part paper cannot do is tell you on Tuesday that Thursday is two people short. Online, each role carries its minimum, the calendar marks the days still below it, and attendance becomes hours per volunteer — the number a grant officer asks for, computed from what actually happened.
