A book fair is a week-long retail operation run by people who do not work in retail, and its staffing problem is shaped like an hourglass: two enormous ends — setup and teardown — with a steady trickle of cashier and helper shifts in between.

This sheet covers the whole week, including the two jobs that reliably get forgotten: the person who counts the register at the end of each day, and the crew who packs the boxes back onto the pallet on Friday afternoon.

Getting it filled

Four things that decide whether it works.

Shifts of two hours, not five

Nobody signs up for a five-hour block, and the ones who do stop coming back. Two-hour shifts fill faster and fail more gracefully.

Book the class shopping times first

Teachers bring classes on a schedule the library sets. Those slots need a helper each and they are non-negotiable — fill them before you worry about the open browsing hours.

Overstaff family night

The evening event is three to four times the traffic of a school-day hour, plus parents asking about payment. Put twice as many lines on it as you think you need.

Teardown needs muscle and a truck

Packing and loading is a specific ask. Write it as its own job rather than assuming Friday's cashier will stay.

When paper stops being enough

A book fair is exactly the event where a paper sheet costs you: the chair ends up phoning around on Wednesday night for Thursday's gaps. Posting the week online means volunteers claim what fits, get a reminder the day before, and a dropped shift goes back out to the parents who could take it.
